Garment ERP Walkthrough

How Pixel ERP Runs a Garment Factory: PO to Dispatch

Follow a single buyer order through a garment ERP built for apparel. This walkthrough shows how Pixel ERP carries a style from purchase order to dispatch — cutting, stitching, job-work, packing and shipment — on one connected system rather than a stack of spreadsheets.

The Hook

One order, one thread you can actually follow

Ask most apparel factories where a particular buyer order sits and you get three different answers — one from merchandising, one from the cutting floor, one from the stitching unit down the road. The order lives in a WhatsApp group, a cutting register and an Excel file, and nobody owns the whole picture. A proper garment ERP exists to end that. It carries one order as one continuous thread, from the day a buyer PO lands to the day the cartons leave your gate.

Pixel ERP is a ready, AI-native garment ERP product that adapts to how your apparel business already runs through no-code configuration. It is not a bespoke build and not a from-scratch project — it is a proven product tuned to your styles, buyers and units. Below, we walk a single order through the whole cut-to-ship journey so you can see exactly what changes when the factory runs on one system.

Step 1

The buyer PO lands in the order book

Everything starts with the purchase order. In Pixel ERP a buyer PO is captured against a style that already exists in your library — carrying its size set, colourways, fabric and trim BOM and target cost — so you are not rekeying specifications every season. The merchandiser records the buyer, the delivery window, the price and the size ratio, and the order book updates instantly.

What the order book gives you

  • A live view of every open order by buyer, style and ship date, so commitments are visible, not buried.
  • The size-colour breakdown created automatically from the ratio you enter once — no line-by-line SKU entry.
  • A direct link from the order to material planning, so procurement knows what to buy the moment the PO is confirmed.
Step 2

Material planning and fabric sourcing

Once the order is confirmed, Pixel ERP explodes the style’s fabric and trim BOM against the ordered quantity. Consumption per piece, wastage allowance and shrinkage are already stored on the style, so the system knows exactly how much greige, dyed fabric, thread, buttons, labels and packing material this order will eat. Requirements roll up across all open orders, so procurement buys to real demand instead of gut feel.

Purchase orders to fabric mills and trim suppliers flow straight from that requirement, with supplier comparison, goods receipt and inward inspection built in. When fabric arrives, it is inspected, batched and taken into stock — ready to be issued to cutting. If you want the full picture of how style BOM drives all of this, see our companion post on style BOM and the size-colour matrix.

Step 3

Cutting: fabric issue, lay planning and bundles

Cutting is where fabric turns into pieces, and where most factories lose track. In Pixel ERP fabric is issued against the order, a lay plan is recorded, and cut pieces are captured across the size-colour grid. Bundles are created and can be tracked individually, so you always know how many pieces were cut per size and colour, and how they map back to the order.

Because cutting is captured against the BOM, the system compares fabric actually consumed with the planned consumption. If a lay is running heavy, you see it now — while there is still fabric to protect — not at season-end when the costing finally gets done.

Step 4

Stitching and job-work: in-house or outsourced

Cut bundles go to stitching — some in-house, much of it at job-work units. Pixel ERP treats both the same way for visibility. Bundles or cut parts are issued to a line or a job-worker, tracked while they are there, and received back as finished or semi-finished pieces against a challan. Issued-versus-returned quantities are reconciled, so shortfalls and excess are caught, and GST-compliant job-work documents and e-way bills are generated where needed.

This is the heart of a garment ERP for Indian apparel, where a large share of production is subcontracted. For the full detail of how issue, tracking and reconciliation work, read our post on job-work and subcontracting in a garment ERP.

Step 5

Finishing, quality and packing

Finished garments come back for checking, pressing and finishing. Quality checks are recorded so passed, altered and rejected pieces are counted by size and colour, keeping your good-stock numbers honest. Then packing takes over: Pixel ERP handles assortment and ratio packing, generates cartons and packing lists, and supports barcode-ready cartons so the pack matches exactly what the buyer ordered.

The cut-to-ship checklist

  • Order confirmed with size ratio and delivery window.
  • Fabric and trims planned from BOM and received against inspection.
  • Fabric issued, cut and bundled across the size-colour grid.
  • Bundles stitched in-house or at job-work, then reconciled.
  • Garments checked, finished and pack-ratio packed.
  • Cartons dispatched with e-way bill and e-invoice.
Step 6

Dispatch, invoicing and the margin you actually made

Dispatch closes the loop. Cartons ship against the order with e-way bill and e-invoice generated in line, so finance and logistics stay aligned. Accounting entries post automatically from dispatch, and the order’s style costing — fabric, trims, CMT, job-work and overhead — is now actual, not estimated. You see the real margin on that order the day it ships, and you carry that learning into the next quote.

Pixel ERP is AI-native, so instead of chasing this status you can simply ask — “which orders will miss their ship date?”, “how many pieces are pending at the stitching unit?” — and get an answer with the numbers behind it. The AI also flags drift early: an order slipping past its window, consumption running over BOM, a job-worker holding pieces too long. Why A Product

A ready product, adapted — not a rebuild

Every apparel house cuts, stitches and packs a little differently. Pixel ERP absorbs those differences through no-code configuration — screens, packing formats, buyer documents, approval routes and reports are settings, not software projects. You get the reliability and continuous improvement of a real ERP product with a fit that feels made for your line. And because delivery is phased, you pay on milestones we meet, not on promises.

FAQ

Mini-FAQ

What is a garment ERP, in one sentence?

A garment ERP runs your whole apparel operation — styles, size-colour matrix, fabric and trim BOM, cutting, stitching, job-work, packing, dispatch and costing — on one connected system, so a buyer order can be followed from PO to dispatch without spreadsheets.

Does Pixel ERP handle both in-house and outsourced production?

Yes. Whether a bundle is stitched on your own line or sent to a job-worker, Pixel ERP tracks it the same way — issued, in progress, received and reconciled — so cut-to-ship visibility never breaks when work leaves the building.

How fast can we go live on this flow?

Because Pixel ERP is a ready product configured to your business, a focused core rollout of the PO-to-dispatch flow typically goes live in weeks, phased into milestones so you see working software early rather than waiting months.

Is this a custom-built system?

No. Pixel ERP is a complete, production-ready ERP product. We configure it — screens, fields, workflows, packing and reports — to your styles, buyers and units through no-code, rather than building a one-off system from scratch.

Will it generate GST invoices and e-way bills at dispatch?

Yes. Dispatch generates GST-compliant e-invoices and e-way bills in line, and accounting entries post automatically, keeping logistics, compliance and finance aligned with production.

Can I see the true margin on an order after it ships?

Yes. Style costing rolls up fabric, trims, CMT, job-work and overhead per order as actuals, so the day an order ships you know the real margin you made and can price the next one better.
